Position Overview:

Providing administrative and organizational support to the Director.

Responsible for managing the Director’s schedule, coordinating communication, handling confidential information, and assisting in various administrative tasks to facilitate the smooth functioning of the school.

Key Responsibilities:

Calendar Management:

  • Maintain and organize the Director’s calendar by scheduling appointments, meetings, and events.
  • Coordinate and arrange meetings, including preparing agendas, booking venues, and sending out invitations.

Administrative Support:

  • Prepare and compile documents, presentations, and reports for the Director’s meetings and presentations.
  • Handle travel arrangements, including booking flights, accommodations, and transportation.
  • Assist tracking expenses, reimbursements, and budget allocations as directed by the director.
  • Manage the director’s office supplies, equipment, and general administrative needs.

Communication and collaboration:

  • Act as a primary point of contact for the Director, managing correspondence and communications.
  • Respond to emails and phone calls on behalf of the Director, when necessary.
  • Draft, edit, and proofread documents, letters, and reports as needed.
  • Liaise with external stakeholders, such as parents, school board members.
  • Collaborate with other departments and personnel to ensure effective communication and coordination.

Confidentiality and Discretion:

  • Handle sensitive and confidential information with discretion and professionalism.
  • Maintain confidentiality of discussions and decisions made during meetings.

Event Coordination:

  • Assist in the planning and execution of events, workshops, conferences, and other activities involving the director.
  • Coordinate logistics, invitations, and follow-up actions related to events.

Special Projects:

  • Support the director and BOD in various special projects, initiatives, and assignments as required.
  • Conduct research and gather information to assist in decision-making processes.

Ad Hoc Support:

  • Provide ad hoc support and assistance to the BOD and Director on various tasks and projects as required.

From time to time, this charity organization gets more known and the numbers of the members increase significantly. They came from various backgrounds such as from the middle class society and professionals, as well as other people in general. They get to know and enthusiastically help out in Tzu Chi activities. Master Cheng Yen realized that those who are more fortunate financially need an opportunity to donate and do charity works, while people who are less fortunate need help financially. Both need each other. With the principle of “To save the world through compassion”, She implements this principle into real action, gathering people with sincere hearts and establishing an organization to cultivate their souls.
