We’re seeking a proactive, organized, and people-loving professional to take full ownership of our client journey, from the moment someone discovers us, to long after they’ve experienced one of our transformational retreats, teacher trainings, or private sessions.

As the Client Journey & Sales Coordinator, you’ll be the bridge between heart-centered offerings and the people who need them. You’ll manage the full sales and client experience process — ensuring each touchpoint is smooth, personal, and aligned with our values.

Pre-Sales & Lead Nurturing

  • Create and maintain high-converting listings in collaboration with Marketing (copywriting, selecting visuals, curating testimonials)

  • Respond to inquiries across platforms (email, booking sites, CRM), using templates you help develop and refine

  • Build and nurture automated and manual sales funnels to turn interest into bookings

Point of Sale

  • Provide payment links and confirmations when not automated

  • Troubleshoot payment issues and liaise with the COO for optimizing the payment journey

  • Track and optimize cancellation, refund, and rescheduling policies with the COO

Post-Sales & Guest Onboarding

  • Respond to guest questions before arrival; send product-specific FAQs and keep them up to date

  • Distribute health forms and waivers, and ensure timely submission

  • Coordinate smooth handovers to on-site coordinators (e.g., via WhatsApp group setup)

Alumni Engagement & Community Building

  • Follow up with retreat and training graduates to maintain engagement

  • Support in nourishing a thriving alumni community across channels

Strategic Input & Collaboration

  • Identify bottlenecks or inefficiencies in the sales/client journey, and propose solutions

  • Provide clear, transparent reporting and updates during weekly or bi-weekly check-ins with the COO

  • Communicate time-off requests (2+ days) at least one month in advance
