Key Responsibilities:

  • Manage the reception area including booking meeting rooms
  • Welcome all visitors appropriately and ensure that they are aware of all company policies relating to them
  • Assist in the setting up and clearing of meeting rooms for meetings, conferences etc. as required
  • Maintain the switchboard and ensure that all calls are handled efficiently and professionally
  • Communicate and liaise verbally and in writing between customers/suppliers/visitors/ enquirers and relevant staff, and interpret and respond clearly and effectively to spoken requests over the phone or in person, and to verbal or written instructions.
  • Receive, deliver and frank all incoming and external post

Health & Safety:

  • Ensure all visitors have signed in and have watched the PowerPoint presentation
  • Maintain visitors book and make sure that this is present during any fire drill
  • Reset all appropriate fire doors following a fire drill

Quality:

  • In line with Company Policies and Procedures

Competency:

Training, Education and Qualifications:

  • Ideally possessing an administrative qualification

Skills:

  • Ability to organise and prioritise and effectively balance multiple priorities
  • Excellent communication, organisation, accuracy and presentation skills
  • Have a high level of presentation and professionalism
  • Ability to maintain high levels of confidentiality at all times
  • The ability to work under pressure and meet strategic deadlines
  • Good Analytical and PC skills, including but not limited to full Microsoft office suit i.e. Word, Excel etc.

Experience:

  • Previous experience of working in a reception environment
  • Experience of using multi-line switchboards
  • Experience of working in a customer service environment
