We are currently looking for Project Assistant, full-time, based in Medan, North Sumatera to support implementation of Sustainable Solution for Smallholder Hub (Horas Hub) project.

The Project

The HORAS Smallholder Hub project, known as the Smallholder Hub, is an initiative spearheaded by Unilever with the aim of establishing an institution that facilitates collaboration among stakeholders in the sustainable palm oil sector. The main goals of this project are to increase Unilever’s supply chain network’s productivity, promote the traceability of oil palm products, foster stronger stakeholder engagement in the palm oil industry, improve the living conditions of farmer households, and ultimately scale up the initiative’s impact.

This includes the integration of Regenerative Agriculture Principles, Women’s Economic Empowerment, and the Living Income Program. The project plans to focus on 20,000 smallholders, which will represent around 21% of all smallholders. With a 3.9 tons per hectare productivity rate, these smallholders cultivate an average of 2 hectares of land per household. By attaining these objectives, the initiative hopes to improve farmers’ livelihoods, preserve the environment, and increase the supply chain for palm oil’s resiliency and effectiveness

    Job Description

    The Project Assistant work to support in the implementation of the project by following guided procedures and processes, according to specific rules and donor compliance. The Project Assistant ensures service needs are reviewed, and service delivery is guided. The Project Assistant can assist in the Finance and Administration of a project or also on the technical side of the project implementation.

    Key Responsibilities:

    Project support

    1. Provide administrative support across all components within the project
    2. Provide logistical & general support to project delivery and documentation (including preparing meetings agendas, meeting minutes, support to the recruitment of consultants, project document folders, and financial information).

    Service and process delivery support

    1. To ensure Project Management Administrative and Financial requirements in line with SNV’s financial and administrative guidelines (including supporting in procurement good and services, travel arrangements, advance and payment requests, time writing for consultants).

    Project reporting

    1. To keep an inventory list of equipment, project assets, the relevant contracts and leases, organize equipment and stationary procurements for training, coordinate maintenance and replacement when required, in consultation with and with approval of the supervisor and confirm the given authorization and (procurement) procedures.
    2. To file all the project document, letters, contract, PR, approvals, in line with the procurement policy

    Project staff support

    1. Assist with activities supporting of team’s work, meetings preparation and coordination with field partner
    2. Flags problems and makes suggestions to improve processes
    3. Makes suggestions to improve effectiveness and efficiency of operations

    Qualifications

    1. Bachelor’s degree in business administration, Agriculture, Forestry, or Natural Resources.
    2. Minimum 2 (two) year experience in role of procurement, finance, and administration procedures
    3. Have at least 1 (one) year of relevant professional experience in an International NGO environment.
    4. Experience in organizing events/activities/trainings
    5. Organized, results-driven, and structured workstyle skills
    6. Ability to document activities (both in writing and visually) in an organized, straightforward way
    7. Ability to communicate with a different range of stakeholders and partners, including government counterparts
    8. Knowledge of the agriculture value chain or climate change-related issues is a plus
    9. Good command of spoken and written English
    10. Good computer skills (Ms. Word, Ms. Excel, Ms. PowerPoint, Internet, and Outlook)

    Additional Information

    Contract type: National Contract, Full Time.

    Contract Duration: A year with the possibility of extension
