Job description & requirements

Reporting directly to the CEO, the Personal Executive Assistant is essentially the right-hand of the CEO. This person will not only manage the diary, scheduling and day-to-day life of the CEO, but will also assist with executing various internal initiatives from event organization, talent acquisition and driving certain internal business enhancement projects.

The role is a great launchpad to a managerial operational role within WSE.

Requirements:

  • Bachelor’s degree or above in any major
  • Minimum 8 years of working experience as a Personal/Executive Assistant/Secretary in multinational/foreign companies
  • Fluency in English and Bahasa Indonesia
  • Excellent management, time-management and multitasking skills
  • Excellent communication (written and verbal) and interpersonal skills
  • Very meticulous and organized, strong attention to detail
  • Can–do attitude; able to complete tasks with minimum guidance
  • High sense of integrity, responsibility, initiative, work ethic
  • Discreet and able to maintain high levels of confidentiality
  • Able to work in a fast-paced environment and under pressure
  • Willing to work as and when needed, even outside normal working hours
  • Proficiency in Microsoft Office (Word, Ppt, Excel)

Main Responsibilities:

  • Assist the CEO with correspondence, phone calls, personal errands, etc.
  • Manage diaries, reimbursements, payment requests, etc.
  • Arrange meetings/appointments/events/travels
  • Review documents before submission to CEO for approval
  • Take meeting minutes, prepare meeting agendas and presentations
  • Act as a reminder to Head of Departments and Managers of important tasks/reports/deadlines
  • Manage database/filing system 
  • Manage and lead ad hoc events/internal conferences
  • De-facto office manager for Head Office functions
