STUDIO WONDER is a full-service interior design studio based in Bali. Our passion is to imagine and create cool interior concepts for residential and commercial projects and to turn our ideas into memorable places and experiences.

We are currently looking for a dynamic, efficient, and resourceful PERSONAL ASSISTANT to join our growing office in Canggu. Supporting the Director and the team with a very busy schedule, this is a great role for someone who takes pride in keeping their boss organized and happy and enjoys a busy and very varied day, with an eye for detail, excellent organisation skills and strong written and oral communication. 

KEY RESPONSIBILITIES

Assisting the Director

  • Work closely with the Director on all aspects of the Studio’s business and assist with some personal work when needed.
  • Manage Director’s calendars, schedule appointments, coordinate meetings and keep an updated “TO DO” list.
  • Help prepare Director and team for meetings by gathering floor plans, samples, tear sheets, or any other materials that may be needed for site and client meetings.
  • Attend meetings and site surveys, take notes of what was discussed and keep Director informed on project progresses and updates from contractors and other team members.
  • Be highly courteous, private, and professional with all aspects of the Director’s and the Studio’s business.

Project Planning assistance

  • Contribute to a weekly meeting with all team members. This is a time to set priorities and goals each week, based on the stages of the projects, and the Design Studio Assistant will spend time reviewing projects and preparing for this meeting each week. 
  • Organise and keep track of Interior Design documentation flow for clients from first consultation to project handover in collaboration with Studio Project Manager and Interior Designer (Welcome Pack, Design Proposal, Handover documentation)
  • When needed attend client, contractor, sub-contractor, and other representative meetings as well as occasionally attend on site meetings with Contractors and Foremen, taking and storing detailed notes.
  • Provide administrative support to the executive team and perform general office duties.

Office organisation

  • Responsible for keeping office supplies stocked and keeping office room tidy and organized, coordinating handymen for maintenance and IT provider when needed.
  • Assist in organising events.

Install

  • Prepare partners and vendors with the necessary information for a seamless installation in collaboration with Design Studio Project Manager and Interior Designer.
  • Assist with coordinating installation of projects (artwork, furniture, styling accessories)
  • Assist with photoshoots and styling coordination.
  • Support every helping hand during install with necessary tools and to do lists.

REQUIREMENTS

  • Candidate must possess at least a Bachelor’s Degree in any major
  • Min 3 years experience as a personal assistant or in an administrative role, ideally in an Architecture or Interior Design Studio or similar position.
  • Proficiency in written and verbal English is required for this position.
  • Proficiency in Microsoft Office Suite (Word, Excel, PowerPoint), and Google Calendar. Knowledge of Canva is preferred.
  • Strong organizational skills with the ability to prioritize tasks and meet deadlines.
  • Strong attention to detail as well as an intensity about finding errors, keeping the projects on schedule, and finding ways to optimize existing processes. 
  • Ability to handle sensitive information with confidentiality.
  • Able to drive and willing to travel to visit sites, meet clients and suppliers.
  • Responsible, trustworthy, and great team worker
  • A “Can-Do” attitude and willingness to put in extra or odd hours and effort as a given project goes through more time intensive phases, such as the first presentation and installation phase.

WORK SCHEDULE

This is a full-time position from Monday to Friday, 9am to 5pm, with flexible hours and the occasional increased hours to be expected during new clients onboarding and installations phases.  The candidate will receive initial training on company procedures, software tools, and design processes and will report directly to the Director.
