Job Purpose: (summary of the primary purpose of the position but specific statement of why the position exists)
Based in Indonesia, the Operations Specialist will provide operations support for the growing Oil trading desk. The successful candidate will liaise with related parties including suppliers, buyers, traders, banks, surveyors, agents and colleagues in different departments/offices to ensure smooth operations.
We are looking for a team player who can take initiative to achieve results and able to promote timely flow of information to senior management, front office team and other colleagues.
Key Responsibilities:
• Responsible for reviewing a wide variety of standard and ad-hoc agreements related to the trading activities, understanding commercial terms to ensure safe execution of trades and that company policies are adhered to
• Draft sales invoices based on contracts and if applicable, letter of credit (SKBDN) terms. Check details and obtain necessary approvals prior to processing payment, then follow up as necessary with trade partners
• Handle export documents, including preparation of all related documents to ensure our ability to receive payment under SKBDN
• Liaise with related parties including suppliers, buyers, agents, etc and internal colleagues with respect to all documentation and payments of a shipment.
• Update database with shipment details in a timely manner, provide shipment data required by other functional teams (e.g. Treasury, Finance, Credit) and update shipment reports and cashflow projections
• Process outgoing payments, manage receivable collections, handle insurance declarations, prepare reports and ensure proper electronic filing of documentation in a timely manner
• Verify counterparty information is correct and information/documents are properly recorded in the Counterparty Onboarding System
• Liaise with Indonesian Notaries/Translators
Education, Experience and Skills:
Education & Qualifications: • A tertiary degree or Diploma in Accounting, Business or a related area is preferred.
Experience: • Ideally 2-5 years of similar experience in a physical commodity trading environment (e.g. Settlements or Operations department)
Skills: • Effective communicator with native Bahasa and good English, both written and spoken
• Excellent PC skills including Microsoft Excel
• Good numeracy level essential
• Able to handle day to day operations independently while working in a dynamic environment with remote teams
