We are seeking a highly organized and proactive Operations Manager to join our team. The ideal candidate will be instrumental in ensuring the smooth operation of our office, supporting the team, and contributing to our mission of sustainability.

Job Summary: The Manager will oversee all administrative activities, manage office operations, and support the used cooking oil collection team. This role requires a dynamic individual who can handle multiple tasks, ensure efficient office and warehouse operations runs smooth on a daily basis. 

The Role: 

  • Provide direct oversight over drivers,warehouse staff, assign tasks, manage workloads, conduct performance evaluations, and foster a positive and productive work environment for team members
  • Compliance and Safety: Ensure compliance with environmental regulations and company policies.Promote a safe and healthy work environment, conducting safety audits and training as needed.
  • Office Operations: Oversee daily office operations, ensuring a clean and organized workspace.Manage office supplies inventory and place orders as needed.Coordinate maintenance of office equipment and facilities.
  • Administrative Support: Handle incoming and outgoing communications, including phone calls, emails, and mail.Maintain and update company records, databases, and filing systems.Prepare and distribute correspondence, reports, and other documents.
  • Assist customers with inquiries, provide information about services, and resolve issues.Coordinate scheduling and logistics for oil collection services.
  • Team Support: Assist with onboarding and training new employees.Support the collection team with route planning and dispatch coordination.
  • Organize and schedule meetings, appointments, and travel arrangements for staff.
  • Financial Management: Manage accounts receivable and payable, including invoicing and payment processing.Assist with budgeting and financial reporting.Handle petty cash and expense reports.
  • Compliance and Safety: Ensure compliance with environmental regulations and company policies.Promote a safe and healthy work environment, conducting safety audits and training as needed.
  • You will provide overall management and leadership of all project functions, overseeing either a major project or a portfolio of projects possibly across multiple sites and locations
  • To review, establish and validate Operational Goals and Objectives and support teams in their efforts to achieve same and to ensure compliance with contractual obligations
  • To liaise with clients on Kobkiat Global’s overall performance and to ensure alignment of execution strategies in delivering achievement of Key Project Performance Indicators
  • To Support direct reports to mitigate / resolve any outstanding Client concerns / issue
  • Apply / demonstrate the highest standard of business ethics and compliance with Kobkiat Global’s core values
  • To pro – actively direct any action required to mitigate potential project problems and / or reactively instigate any major problem – solving initiatives required as all stages of the projects
  • Build strong client relationships across a framework organization and manage Jakarta office and warehouse operations including but not limited to manpower management. 
  • Act as the country lead to manage the completion of the overall project, overseeing all aspects of projects from start to finish.
  • Control the project for complete on schedule and on budget
  • Coordinate with the related sector in order to solve any problem or risks affecting the project target and deadline.
  • Follow-up and evaluate the progress of the work schedule and regularly report to Directors of the company
  • Coordinate with the Management Team and Director as needed for operational, contractual, financial, technical, and reporting requirements as necessary

The Person: 

  • Bachelor’s degree in engineering or similar technical field preferred
  • Maintains a healthy balance between operational involvement and leadership. Delegates effectively
  • 10 years’ project management experience with a min of 5 years in Operations Management 
  • Experience with managing office and at warehouse sites
  • Excellent communication and interpersonal skills.
  • Proficiency in Microsoft Office Suite (Word, Excel, PowerPoint, Outlook).
  • Familiarity with office management software and financial/accounting tools.
  • Knowledge of environmental regulations and sustainability practices is a plus.
