The purpose of an Operational Manager is to oversee and ensure the efficient functioning of the school’s non-academic operation. This role supports the school’s mission by creating a safe, well-organized, and resourceful environment that allows educators and students to thrive.
Qualifications & Experience
● Bachelor’s degree in Business Administration, Operations Management, Education Management, or a related field.
● Certifications in operations, project management or health and safety (BLS, K3) are preferred.
● At least 5-7 years of experience in operations, administration, or facilities management.
● At least 2-3 years of experience in a leadership or managerial role.
● Prior experience in an international school or multicultural environment.
● Demonstrated expertise in managing budgets, resources, and vendors.
● Experience implementing health and safety policies and handling compliance requirements.
● Strong organizational and project management skills.
● Ability to lead and manage teams across various departments (e.g., maintenance, IT, security, transportation).
● Excellent written and verbal communication skills in English.
● Ability to work collaboratively with academic staff, parents, and external stakeholders.
● Availability to work flexible hours and handle emergencies promptly.
● Ability to adapt operational practices to meet international standards and expectations.
Duties & Responsibilities
1. Facilities and Infrastructure
• Oversee the maintenance, safety, and cleanliness of school buildings, classrooms, and grounds.
• Ensure compliance with local and international safety regulations.
• Manage renovations, repairs, and upgrades to the school’s facilities.
• Conduct regular inspections to identify and address issues proactively.
2. Administrative and Operational Oversight
• Supervise administrative staff, support staff, and maintenance teams.
• Streamline administrative processes to improve efficiency and reduce redundancy.
• Coordinate logistics for school events, activities, and examinations.
3. Health, Safety, and Security
• Develop and implement health and safety protocols, including emergency evacuation plans.
• Oversee the security of the school premises, including access control and surveillance systems.
• Supervise regular safety drills (fire, earthquake, lockdown) and training sessions for staff and students.
4. Budget and Resource Management
• Develop and manage the school’s operational budget in collaboration with the finance team.
• Monitor expenditures and ensure optimal allocation of resources.
• Procure necessary equipment, supplies, and services while ensuring cost efficiency.
5. Vendor Management
• Manage relationships with external service providers (e.g., catering, transportation, cleaning, IT support).
• Monitor vendor performance and address issues as needed.
• Negotiate contracts to ensure quality and cost-effectiveness.
6. Crisis and Emergency Management
• Develop and implement contingency plans for emergencies (e.g., natural disasters, health crises).
• Act as the point of contact for operational crises and ensure swift resolution.
• Liaise with local authorities and emergency services when needed.
7. Transportation Management
• Supervise the school transportation system, ensuring student safety and punctuality.
• Coordinate schedules, routes, and maintenance for school buses.
8. Collaboration with Leadership and Staff
• Work closely with the school leadership team to align operational strategies with educational goals.
• Provide operational support to teaching staff for classroom and extracurricular activities.
• Serve as a liaison between the school’s administration and parents on operational matters.
9. Compliance and Reporting
• Ensure adherence to local, regional, and international regulations and standards.
• Prepare and submit reports on operational performance, expenses, and compliance status.
• Maintain proper documentation and records for audits and inspections.
