HR and Admin Support Manager

Responsibilities :
A. HUMAN RESOURCES SECTOR
• To manage and supervise in carry out, in general the Regulation in matters of pertaining to Manpower, generally and in particular, the Company Regulation and labor law.
• To manage and supervise in carry out the Company’s policies decided by Director or Management.
• To supervise in carry out the Personnel Administration (Attendance, Annual Leave, Permission, Medical Reimbursement, Warning Letter, etc). Also to issue the ID Badge, Announcement for employee and counselling for any problems for employee and to obtain any input from employee for the Company’s interest.
• Manage all aspects of HR including but not limited to absence, issuing employment contracts, hiring & firing, performance management, annual appraisals, learning & development, employee relations, providing reference etc (all general HR tasks).
• To manage and fulfil the request from Management for increasing/decreasing of employee (to make of vacancy, selection, test and interview of employee’s candidates).
• Assist in the onboarding process for new hires
• Update and maintain office policies as necessary
• Organize office operations and procedures includes office location and environment for each department
• To manage and responsible for handling any application, filing of claim, documentation of BPJS, Report of Pertaining in matters of Manpower
• To supervise in carry out in creating the excellent and well-mannered working relationship in the Company.
• To supervise in carry out in creating the excellent relationship inter department (internal and external);
• Organize learning and development programs
• Ensure HR staff addresses employees’ requests and grievances in a timely manner
• Plan in-house or off-site activities, like parties, celebrations and others
• Working closely with Director on the smooth running of the company.
• Support and develop the company’s culture through HR practices.
B. GENERAL AFFAIR SECTOR
• To manage and supervise in the usage of Company’s Inventory; to prepare of annual leave, health insurance, travel arrangements, also other secretarial task required by the Company.
• To manage the General Affairs and office administration duties such as Supplies, Equipment, Bills, Procurement, etc
• To manage the Company’s documentations (especially the validity of the documents)
• Schedule meetings and appointments
• Manage contract and price negotiations with office vendors, service providers and office lease
• Manage office G&A budget, ensure accurate and timely reporting
C. PAYROLL SECTOR
• To liaise with tax officer to manage and make payroll calculation, taxation, and all expense or budget related
• To control in payroll administration orderliness
Requirements :
· Have Integrity and can be fully trusted by the Management
· Candidate must possess at least a Bachelor’s Degree or Master’s Degree in Human Resources Management, Psychology, Law, or equivalent
· At least 3 year(s) of working experience as HR Department Manager / GA Manager / Office Manager
· Having good communication skill, leadership, influencing and interpersonal skill, good analytical thinking, problem solving, and decision making
· English is a mandatory
· Proven work experience as a Senior HR Manager or similar role
· Hands-on experience with Human Resources Management Software (including payroll systems and ATS)
· Knowledge of Office Administrator responsibilities, systems and procedures
· Proficiency in MS Office (MS Excel and MS Outlook, in particular)
· Experience in using reporting or work monitoring tools such as Asana, Trello, Jira, Microsoft Project, or such tools
· Familiarity with email scheduling tools, like Email Scheduler and Boomerang
· Excellent time management skills and ability to multi-task and prioritize work
· Attention to detail and problem solving skills
· Excellent written and verbal communication skills
· Strong organizational and planning skills in a fast-paced environment
· A creative mind with an ability to suggest improvements
