Job Description:

  1. Household Operations Management:

  • Oversee the overall operation of the home, ensuring it is well-maintained and organized.

  • Manage the cleanliness and upkeep of the property, including regular inspections.

  • Supervise household maintenance, repairs, and renovations.

  • Coordinate with contractors, vendors, and service providers for any work required.

2. Staff Supervision and Coordination:

  • Supervise and manage household staff (e.g., housekeepers, chefs, staff support, gardeners).

  • Develop staff schedules, ensuring adequate coverage and efficient workflows.

  • Conduct performance evaluations and provide training to staff as needed.

  • Handle recruitment, onboarding, and occasionally terminating staff if necessary.

3. Inventory and Supplies Management

  • Maintain inventory of household supplies, such as cleaning products, food, and personal items.

  • Ensure that the household is stocked with necessary items and purchase replacements as needed.

  • Oversee budgeting for household supplies and expenses.

4. Event and Entertainment Planning:

  • Managing the household’s schedules and calendars

  • Organize and manage events, parties, and family gathering in the home, including catering, decorations, and entertainment.

  • Coordinate with event planners, caterers, and other vendors when hosting guests.

5. Personal Assistance:

  • Arranging appointments for personal and professional needs.

  • Assist with personal errands such as shopping, scheduling appointments, or managing personal projects.

  • Handle personal correspondence, phone calls, and email on behalf of the employer.

6. Budgeting and Financial Management:

  • Prepare and manage the household budget, including managing payroll for household staff.

  • Keep track of household expenses, submitting regular reports to the employer.

  • Ensure cost-effectiveness without compromising quality of service.

7. Security and Safety:

  • Implement and oversee household security measures, including the coordination of alarm systems, surveillance, and emergency preparedness plans.

  • Ensure the safety of the family and staff by maintaining a hazard-free environment.

8. Communication and Reporting:

  • Maintain open communication with the employer, providing regular updates on household activities.

  • Handle any issues or emergencies that arise, promptly addressing problems as they occur.

  • Mandatory to respond to message within 1 hour during 7am – 10pm local time.

Requirements:

  • Diploma/Bachelor’s degree in Business Administration, Hospitality, or a related field.

  • 2+ years of experience being a Personal Assistant/Secretary.

  • Able to operate Microsoft Office programs.

  • Responsible, able to work under pressure, agile.

  • Strong organizational; with the ability to effectively supervise and motivate staff.

  • Excellent organizational and time-management skills, with the ability to manage multiple tasks and responsibilities.

  • Exceptional communication and interpersonal abilities.

  • Knowledge of household management, including staff supervision, inventory control, and budgeting.

  • Flexibility to work weekends and holidays, as needed.

  • Discretion and confidentiality, particularly with personal or sensitive matters.

  • Neat appearance.

  • Valid driver’s license.

  • Willing to work WFO in Gading Serpong area.
