We are seeking an General Affairs Manager to oversee licensing, contracts, and vendor management while ensuring regulatory compliance and smooth operational support. This role establishes administrative systems, supervises outsourced service providers, manages employee attendance reporting, and handles government liaison. The Administration Manager will provide essential support across departments, coordinate with corporate HR Shared Service, and maintain efficient, compliant, and well-documented operations.

Key Responsibilities

Pre-opening Preparation

  • Obtain all required government licenses and permits for property operations (accommodation, hygiene, safety, alcohol sales, etc.).

  • Manage legal and administrative procedures and prepare necessary documentation.

  • Establish outsourcing/vendor contract management systems (security, cleaning, maintenance, inspections, etc.).

  • Set up administrative systems for contract management, document filing, and internal policies.

  • Support venue rental and event-related administration prior to opening.

  • Define and implement attendance management processes (working hours, leave, overtime) integrated with corporate HR Shared Service.

Administrative & Operational Support

  • Ensure compliance with local regulations and oversee licensing/permit renewals.

  • Manage contracts and monitor renewal schedules.

  • Supervise outsourced service providers (security, sanitation, laundry, maintenance) and evaluate performance.

  • Collect and compile employee attendance data (working hours, leave, overtime) and submit reports to HR Shared Service for payroll.

  • Liaise with government agencies, local authorities, and external stakeholders.

  • Handle administrative management of office, warehouse, and facility assets.

Collaboration & Communication

  • Provide administrative support to operating departments (Housekeeping, Engineering, F&B, etc.).

  • Coordinate reporting with the General Manager and corporate headquarters.

  • Assist with employee-related administrative matters (work visas, housing contracts, employment documentation).

Requirements

  • Minimum 3 years of experience in General Affairs, Administration, or similar roles in hospitality or corporate environments.

  • Strong knowledge of government licensing and compliance procedures.

  • Proven experience in outsourcing/vendor management and contract administration.

  • Experience in attendance management and coordination with HR Shared Service is an advantage.

  • Excellent communication skills in a multicultural environment.

  • Proficiency in English (Bahasa Indonesia or Korean is a plus).

  • Strong organizational and documentation management skills.

  • Prior experience in hotels/resorts is preferred
