Dibutuhkan. loker dengan sistem full time untuk posisi General Administration Manager di kantor PT Xpert Teknologi Inovasi untuk daerah Jakarta Selatan & Jakarta Raya atau sekitarnya.

Kemampuan yang kita inginkan adalah Manajemen Perkantoran (Administrasi & Dukungan Perkantoran) serta orang yang mampu bekerja dengan tekun.

Key Responsibilities

1. Compliance & Safety

  • Ensure all office and facility activities comply with company policies, government regulations, and safety standards.

  • Maintain up-to-date legal documents and operational licenses for office facilities.

  • Represent the company during audits, inspections, and emergency procedures, and manage required follow-ups.

2. Team Management & Operational Oversight

  • Lead and supervise the GA/Admin team and office support staff (drivers, janitors, security guards, messengers).

  • Set work schedules, provide coaching, and conduct performance evaluations.

  • Provide direct support when needed to ensure continuity and quality of operations.

3. Office & Facility Operations

  • Oversee day-to-day operations of the office and its facilities, including cleanliness, maintenance, and general upkeep.

  • Coordinate with building management to resolve facility related issues.

  • Ensure timely execution of routine services such as pest control and office hygiene.

4. Administrative Support Services

  • Ensure proper filing and archiving of documents (both physical and digital).

  • Manage all incoming and outgoing mail and courier services.

  • Monitor and maintain office supply inventory to ensure availability while managing costs.

5. Vendor & Procurement Coordination

  • Handle general administration-related procurement requests in coordination with the Procurement team.

  • Oversee vendor contracts and service quality.

  • Work with Finance to ensure timely processing of invoices and payments.

6. Budget & Cost Management

  • Prepare and manage the general administration budget, including monthly monitoring and reporting.

  • Identify and implement cost-saving measures without compromising safety or service quality.

7. Employee Travel & Event Support

  • Manage business travel arrangements for employees, including bookings for flights, hotels, and transport.

  • Oversee the proper use and maintenance of company vehicles and driver scheduling.

  • Support the planning and coordination of company events, meetings, and internal functions.

Qualifications

  • Minimum Diploma or bachelor’s degree in business administration, management, accounting, or related field.

  • Minimum 5 years of experience in general affairs, office administration, or facility management, with at least 2 years in a supervisory or assistant manager/junior manager role.

  • Proven ability to lead a team and manage day-to-day operations while ensuring compliance and cost control.

  • Experience coordinating with vendors, managing contracts, and handling procurement processes.

  • Strong organizational, problem-solving, and interpersonal skills.

  • Able to multitask and work under pressure in a fast-paced environment.

  • Proficient in MS Office (Excel, Word, Outlook) and comfortable working with digital tools for inventory, filing, and reporting.

  • Familiarity with building management processes, safety standards, and company asset handling is a strong advantage.

  • Basic English proficiency preferred.
