PRIMARY RESPONSIBILITIES

  • Ensure all reporting and coordination operation relating to trade natural resources AGRI commodities business, as assigned by operation manager and technical coordinator.
  • Client / affiliates liaison for all correspondence including job assignment and delivery of reports / certificates / invoices.
  • Coordinate job assignment on conformed client order.

REPORTING

  • Operations Manager and Technical Manager

SPECIFIC RESPONSIBILITIES

  • Monitor job execution and completion of trade service.
  • Monitor all reporting operation execution performance, and problem solving where required
  • Execution of all daily operational functions according to the Quality Plan
  • Provide approved final reports, certificates and invoices to clients / affiliates or other parties as approved by Sector Manager.
  • Inform clients regarding issuance of certificates and obtain shipping documents for certificate.
  • Preparation of reports for Sector Manager as requested, in a timely manner and other tasks as requested by the Sector Manager, e.g.: weekly highlight, finance monthly report, etc.
  • Review of job files before being closed to ensure its suitability and completeness
  • Provide customer service and assistance to internal and external customers to meet their requirements and resolve queries
  • Prepare and monitor invoice issuance to the client after or before job completion
  • Promote the image, capability and integrity of the company to the clients
  • Operate to the highest standards of ethics, in accordance with the SGS Statement of Integrity
  • Customer focused at all times, and achieve efficiency in service
  • Resolution of any client complaints, in conjunction with management
  • Lead, coach and develop a business oriented administration team
  • Review all typed documentation, including reports, inspection, certificates and invoices prior to being released to customers.
  • Preparation of highlight reports for Business Manager as requested.
  • Any other duties requested by the Technical coordinator and/or Operation Managers.

PROFILE

  • Bachelor Degree
  • Have not less than three years experience in administration operational.

REQUIRED SKILLS

  • Fluent in Indonesia and English Language (verbal, written and comprehension)
  • Has good knowledge and understanding on global harmonized procedure
  • Has a good skill in analyzing data for supporting the business
  • Has a good logical sense, knowledge and skill in computer application or programming
  • Has a good knowledge and understanding on analyzing and utilize the data by using computer application.
  • Fast learner, people skills, team player, mature, responsible person.
  • Customer focused and business oriented individual.
  • Able to work independently without immediate instructions or direct and constant supervision and to coordinate activities simultaneously.
  • Self starter, able to handle confidential information and has good communication and interpersonal skills.
  • Open minded to continuous improvement, acts quickly and decisively.
  • Willing to contribute with ideas and recommendations and work well under pressure and challenges status quo.
  • Able and willing to expedite issues with other clerical and technical staff, including Agriculture Sector manager, when it is felt that inaction could result in reduced satisfaction of customers (internal and external).
  • Applies judgment and acts according to the SGS standards of ethics and integrity.
