General Manager – KARMAFREE SURF SHOP
Position Overview: The General Manager is responsible for overseeing the day-to-day operations of KARMAFREE SURF SHOP, including the shop, coffee shop, and restaurant. The role involves managing staff, ensuring operational efficiency, handling suppliers, maintaining stock, managing breakages and wastage, and ensuring exceptional customer service while maintaining the brand’s sustainable values.
Key Responsibilities
Staff Management & Operations
• Oversee and manage daily operations across the kitchen, coffee shop, and shop.
• Develop and manage staff schedules, including day-offs and overtime.
• Manage extra hours, late attendance, and track attendance records.
• Ensure proper communication of announcements, policies, and updates to all staff.
• Provide leadership, coaching, and performance feedback to all team members.
• Manage staff conflicts and ensure a positive and productive work environment.
• Train new staff members on KARMAFREE’s operational procedures and sustainability values.
• Monitor staff performance and ensure roles are being executed efficiently.
Supplier Management (Kitchen, Coffee Bar & Stationery)
• Maintain, manage and place orders for inventory of all supplies for the kitchen, coffee bar, and shop.
• Conduct daily, weekly, and monthly inventory checks to avoid shortages.
• Oversee daily, weekly, and monthly ordering of supplies.
• Manage and schedule supplier payments, ensuring all payments are completed on time.
• Monitor supplier costs and negotiate for cost-effective and sustainable solutions.
• Generate and submit weekly and monthly supplier reports for management review.
Shop Maintenance
• Ensure the cleanliness, organization, and safety of all areas, including the shop, coffee shop, and kitchen.
• Identify and address any maintenance issues promptly.
• Manage and oversee cleaning schedules for all areas.
• Coordinate with external vendors or technicians for repairs or improvements as needed.
Breakage, Damaged, and Wasted Inventory
• Monitor and record any breakage, damaged, or wasted inventory from the restaurant and coffee bar.
• Report and analyze causes of breakage and wastage to reduce losses.
• Develop strategies to minimize inventory wastage and maintain quality standards.
Accounting & Payments
• Review and verify all supplier invoices and payment schedules.
• Oversee operational payments, including electricity, water, and waste management.
• Manage and ensure timely payment of all operational expenses.
• Work with the accounting team to ensure all financial records are up-to-date and accurate.
• Monitor and report monthly expenses, supplier payments, and operational budgets.
• Provide a weekly and monthly expense report to management.
Shop Product Inventory
• Oversee product stock levels for the shop, including clothing, surf gear, and accessories.
• Conduct regular inventory checks and address discrepancies.
• Ensure product displays are well-maintained and aligned with KARMAFREE’s aesthetic and values.
• Collaborate with the team to manage restocking schedules and optimize inventory flow.
Customer Service Quality
• Ensure all staff deliver exceptional customer service in the shop, coffee shop, and restaurant.
• Develop and implement customer service guidelines and training.
• Monitor customer feedback and address any issues or concerns promptly.
• Foster a welcoming and community-oriented atmosphere aligned with KARMAFREE’s values.
• Provide solutions to improve overall customer satisfaction and retention.
Required Skills & Qualifications
• Proven experience in general management, hospitality, or retail operations (minimum 2 years).
• Strong leadership and communication skills.
• Ability to multitask and prioritize tasks efficiently.
• Knowledge of inventory management and supplier coordination.
• Basic understanding of accounting processes and payment management.
• Ability to work independently and in a team setting.
• Excellent organizational and problem-solving skills.
• Strong focus on customer service and operational excellence.
• English-speaking (basic to intermediate level).
Working Conditions
– Work Location: KARMAFREE SURF SHOP, Uluwatu area.
– Hours: 8 hours per day, including a 1-hour break. – Occasional overtime as required.
