The Facility Coordinator plays a vital role in managing the assets, equipment, and administrative operations of the warehouse. This individual will oversee the maintenance of warehouse equipment, ensure consumables are well-stocked, and handle vendor contracts and staff-related administrative tasks. The ideal candidate should possess technical skills for basic equipment upkeep, strong organizational abilities, and the capability to maintain accurate records and reports.

Responsibilities:

1. Asset and Equipment Management:

  • Oversee the maintenance, repair, and operation of warehouse equipment, such as forklifts, pallet jacks, and conveyor systems.
  • Coordinate preventive maintenance schedules to minimize downtime.
  • Troubleshoot minor technical issues with equipment and coordinate with external vendors for complex repairs.
  • Maintain an accurate inventory of warehouse equipment and ensure proper tagging and tracking of assets.
  • Ensure equipment complies with operational and safety standards.

2. Administrative Tasks:

  • Maintain and update vendor contracts, ensuring timely renewals and compliance with terms.
  • Keep accurate employee records, including attendance, overtime logs, and employment data of warehouse staff.
  • Prepare and submit reports related to attendance, overtime, and equipment usage.
  • Assist in budget preparation for facility and equipment-related expenses.

3. Consumable Stock Management:

  • Ensure the warehouse is stocked with necessary consumables, including paper, plastic wraps, printer toners, shipping labels, and other operational supplies.
  • Regularly monitor stock levels and place orders to prevent shortages.
  • Coordinate with suppliers to ensure timely and cost-efficient delivery of consumables.

4. Compliance and Safety:

  • Conduct regular safety inspections of the warehouse to ensure compliance with health and safety regulations.
  • Maintain proper documentation for safety audits, vendor contracts, and employee records.
  • Coordinate with staff to address safety concerns and ensure adherence to workplace safety standards.

5. Communication and Coordination:

  • Act as the primary point of contact for external vendors, service providers, and contractors.
  • Collaborate with warehouse staff and management to address equipment, facility, or operational concerns.
  • Provide timely updates and reports to management on facility operations, maintenance, and administrative matters.
     

Qualifications:

Technical Skills:

  • Basic knowledge of warehouse equipment maintenance (e.g., forklifts, conveyor belts, pallet jacks).
  • Familiarity with facility management tools or systems.
  • Ability to troubleshoot and resolve minor technical issues with equipment.

Administrative Skills:

  • Strong organizational and record-keeping skills.
  • Proficiency in Microsoft Office Suite (Excel, Word) and warehouse management software.
  • Experience in managing vendor contracts and employee attendance records.

Interpersonal Skills:

  • Strong communication and problem-solving abilities.
  • Detail-oriented and proactive in addressing operational needs.
  • Ability to multitask and prioritize responsibilities effectively.

Education and Experience:

  • Diploma or degree in Facility Management, Engineering, Business Administration, or a related field (preferred).
  • 2-3 years of experience in warehouse or facility coordination roles.
  • Certifications in workplace safety, equipment operation, or inventory management are an advantage.
