Qualifications & experience

  • Education graduates minimum Diploma or Bachelor Degree from any major
  • Minimum 4 years of working experience as Executive Secretary
  • Proficiency in English (both written and spoken) is a must
  • Fast learner, detail, high initiaive
  • Able to use Ms.Office 

Tasks & responsibilities

  • Provide high-level administrative support to the executive team, including the CEO, COO, and other senior executives. 
  • Arranging schedule for All BOD meeting with Holding Company and BOC 
  • Facility preparation for BOD meeting, screen, pointers, cable.
  • Taking Minutes during Executives meeting and same day distribution to all participants
  • Manage executives’ calendars, schedule meetings, appointments, and travel arrangements 
  • Prepare and distribute correspondence, memos, reports, and presentations on behalf of the executives.
  • Organize and maintain electronic and physical files, records, and documents for the executive team 
  • Assist with special projects and initiatives as assigned by the executive team. 
  • Managing BOD meeting rooms, with open accessibility for BOD use as well as supporting other divisions for an access to the room 
  • Assisting BOD on the following documents check point (email and hardcopies), managing in-out documents for BOD’s approval and making sure all the approval request is fitting the SOP authorization.
