Job brief

We are looking for an Executive Assistant to perform a variety of administrative tasks and support our company’s senior-level managers.

Executive Assistant’s responsibilities include managing calendars, making travel arrangements and preparing expense reports. To be successful in this role, you should be well-organized, have great time management skills and be able to act without guidance.

Ultimately, you will contribute to the efficiency of our business by providing personalized and timely support to executive members. 

Job Description

1.      Provides technical and administrative support to the CEO and flexibility to assist all tasks.

2.      Maintains the CEO’s calendar and all appointments in the most effective way.

3.      Attends, partakes and takes down minutes of all meetings that the CEO requests and maintains follow up and follow through with the necessary updates.

4.      Convey CEO messages and do follow ups.

5.      Prepares presentations and other documentation required for the CEO.

6.      Coordinates with all colleagues to ensure an efficient flow of communication to and from all departments.

7.      Assess, analyse, distribute and file the daily flow of information and incoming letters in the import division as well as emails.

8.      Draft and issue memorandums after approval by the CEO.

9.      Perform any other reasonable duties as required by the department from time to time.

10.  Ensure consistent compliance with the Standard Operating Procedures (SOP) for administration.

11.  Maintain an effective and updated set-up of the CEO’s filing system such as MOM files.

12.  Ensure high standards of tidiness within the working area.

13.  Ensure that the information and information security equipment assets are secured as effectively as practically possible to ensure the confidentiality, integrity, and availability of the information assets.

Job Requirement

1.      Ability to multitask and prioritise tasks

2.      Good written and spoken in English and Indonesian, conversational Mandarin is preferred, and other language skills is a plus point.

3.      Strong business communication skill both in writing and verbal communication

4.      Excellent time management skills, Ability to pay attention to detail.

5.      A person with high attention on detail, good arranger, analytical, systemized, procedural, organized and have a good taste in visual design

6.      Well-developed organisational skills

7.      Able to work independently with minimum supervision

8.      At least 3-5 year(s) of working experience in the related field is required for this position.
