Position Summary

Boeing is looking for a Business Operations Specialist based out of Jakarta, Indonesia to assist Singapore Business Support Manager to mainly performing general affairs duties and administrative support to office maintenance and facility services, including but not limited to planning, execution and completion of initial set up of new office in Jakarta, Indonesia.

Responsibility:

Daily responsibilities included but not limited to:

  • Manage and support the daily office operations.

  • Greets, screens and directs visitors at Company sites to specific locations and offices.

  • Issues badges and passes to visitors authorized to enter company property.

  • Checks for approval of controlled items entering or leaving facilities.

  • Answers and routes telephone calls, answers general questions, directs vendors and acts as focal for receipt and delivery of express packages.

  • Follows and maintains lobby procedures. Coordinates and arranges corporate business travel and related expense reports.

  • Manage business entity compliance for all entities supported by Business Support Manager.

  • Manage International Enterprise Services related projects / programs / initiatives.

  • Maintain International Enterprise Services standards and identify opportunities to improve service and reduce cost.

  • As assigned, work together with Business Support Manager to facilitate integrated, consistent and accessible delivery of International Enterprise Services.

  • Manage business & emergency preparedness planning for the office.

  • Manage and support business partnering in country, include new/emergent business programs or projects.

  • Support customs compliance coordination with Global Trade Control.

  • Be team player and back up other team members.

  • Other tasks and duties requested by management. Duties subject to change per management requirements

  • Serves as a Boeing primary subject matter expert (SME) for:

    • Technical immigration matters for Indonesia, and/or business units as assigned.

    • Business planning and process partner/OBIP consulting for Indonesia.

  • Proactively guides employees and managers successfully through the immigration processes with proper follow-through and to meet business objectives.

  • Supplier, Process Partner, Business Partner and Employee Service integration and problem resolution.

  • Lead or Support team project initiatives and provide subject matter expertise on Indonesia immigration related topics.

  • Educates business and process partners on Indonesia immigration and related mobility topics.

  • Participates in supplier governance activities related to Indonesia immigration:

    • Maintains positive professional relationships with immigration service providers.

    • Provides guidance to suppliers ensuring clear understanding of business objectives and requirements.

    • Troubleshoots individual case escalations as needed and systemic service provider issues.

    • Identifies immigration supplier performance issues to team leaders to manage Service Level Agreement and metrics standards.

  • Partners with Regional Relocation Experience Specialists, ensuring their awareness and support of immigration topics applicable within their regions and working collaboratively to meet business customer goals.

Basic Qualifications:

  • Minimum 2 years administrative experience – preferable experience in General Affairs duties, Building Management systems, Facility Services, project management, stakeholders’ management and compliance management.

  • Bachelor degree and more than 2 years of related working experiences in multinational companies preferred. Or an equivalent combination of education and experience.

  • Experience with Indonesian immigration (work permit and business visa)

  • Experience with dealing with Indonesian authorities

  • Excellent customer service skills

  • Minimum two years immigration related work experience.

  • Fluent in Indonesian (written and spoken)

  • Excellent spoken and written communication skills

  • Demonstrated business partnering or consulting skills

  • Ability to work effectively under time pressure and manage multiple activities concurrently

  • Proficient with EXCEL, WORD and Power Point

Competencies:

  • Excellent in local and English language skills (read, written, and spoken).

  • Immediate proficiency in MS Office (Excel, Word, PowerPoint, Outlook, Sharepoint).

  • Candidate with project management skills or experience.

  • Candidate able to work with various levels of stakeholders.

  • Candidate with good presentation and communication skills.

  • Candidate who work well in a team work environment.

  • Candidate to have/exhibit organizational and management skills and flexibility in work hours.

  • Candidate must be a self-starter with a positive attitude, high ethics and a track record of working successfully under pressure in a time-constrained environment.

  • Candidate to exhibit interpersonal skills and ability to work cooperatively as a team member.

  • Candidate must be methodical and thorough with a focus on detail and completion of tasks.

  • Candidate must be willingness to learn and apply new skills.

  • Benefits and pay are determined at the local level and are not on Boeing US-based payroll
