We are seeking a highly organized and proactive Assistant to the Director to provide comprehensive administrative support and ensure the smooth management of daily operations. The ideal candidate will assist the Director in handling various tasks, coordinating with internal teams, and ensuring that projects and tasks are completed on time. The candidate must be detail-oriented, possess excellent communication skills, and have a high level of professionalism.

Key Responsibilities:

Task Management:

  • Assist the Director in managing tasks and projects, including tracking progress, setting priorities, and ensuring deadlines are met.
  • Handle administrative duties, including managing the Director’s calendar, scheduling meetings, and preparing necessary documentation for various projects.

Coordination and Communication:

  • Act as a liaison between the Director and internal teams to communicate task requirements, timelines, and project goals.
  • Ensure that tasks delegated to internal teams are completed according to the timeline, with regular follow-up and progress reporting.
  • Facilitate communication between departments to ensure smooth collaboration and alignment with the Director’s vision.

Meeting Support:

  • Prepare agendas, materials, and presentations for meetings with internal and external stakeholders.
  • Attend meetings with or on behalf of the Director, taking minutes, summarizing key action points, and ensuring follow-through.

Event Arrangements:

  • Assist in organizing company events, conferences, and workshops as needed.

Strategic Support:

  • Assist the Director in tracking key business metrics and providing analysis when required.
  • Support the Director in managing confidential matters, including budgeting, forecasting, and other sensitive projects.

Problem-Solving and Decision Support:

  • Provide proactive support by identifying potential challenges in ongoing tasks and recommending solutions.
  • Assist in decision-making processes by gathering data, conducting research, and providing relevant insights to the Director.

General Administrative Support:

  • Manage correspondence directed to the Director’s office, ensuring a prompt and professional response.
  • Handle ad-hoc tasks and special projects as assigned by the Director to ensure the smooth functioning of the organization.

Qualifications:

  • Proven experience as an Assistant to a senior executive or Director.
  • Strong organizational and multitasking skills, with the ability to prioritize effectively.
  • Excellent communication and interpersonal skills.
  • High proficiency in Microsoft Office Suite (Word, Excel, PowerPoint) and project management tools.
  • Ability to maintain confidentiality and exercise discretion.
  • Detail-oriented, proactive, and able to work independently.
  • Bachelor’s degree or equivalent in Business Administration, Communications, or a related field is preferred.
