The successful candidate will be required to assist the Corporate Secretary to effectively manage all corporate records and provide advice and guidance to the Board of Directors on governance, compliance issues and statutory obligations under the Companies Act and Policies and Procedures.

Core Responsibilities :

  • Assisting the Corporate Secretary on handling full spectrum of corporate secretarial duties including company incorporations, registration of foreign branches & representative offices, striking-off of companies, preparation of directors’/ shareholders’ resolutions for on-going corporate secretarial matters for clients, application of employment passes, opening bank accounts and change of signatories, etc.
  • Ensuring compliance with relevant statutory and regulatory requirements by both the company and clients.
  • Assisting the Corporate Secretary with organizing meetings and taking minutes during Committee and full Board meetings and preparing initial draft of meeting minutes.
  • Assisting with the collating of information and writing reports, ensuring decisions made are communicated to the relevant stakeholders.
  • Preparing documents on behalf of Executives e.g. correspondence, memorandum, spreadsheets, power point presentations and other reports as directed.
  • Maintaining and updating secure files of Board and Board Committee proceedings and other files.
  • Overviewing incoming and outgoing mail for Corporate Secretariat and Board of Directors.
  • Maintaining accurate information pertaining to the Board of Directors, including addresses and telephone numbers, notices regarding meetings, tracking of quorums for meetings, and any special needs for meeting attendance.
  • Performing related work as assigned.

Key Qualifications :

  • Minimum Bachelor Degree, in Law, Finance, or Business Administration from a reputable university.
  • Minimum 5 years proven experience as executive secretary.
  • Fluent in written and spoken Mandarin and English.
  • Experience in either executive assistant role, product management, consulting or business development.
  • Able to operate Microsoft Office, Power Point and Excel.
  • Good communication and relationship building skill, able to collaborate with cross functional teams including the ability to liaise with different departments.
  • Ability to work in a fast-paced environment, enjoys challenges and can adapt to various situations while prioritizing multiple work assignments simultaneously.
  • Well-organized, attention to detail and have great time management skills.
  • Willing to be placed in Pantai Indah Kapuk, North Jakarta.
