Job Summary: The Administrative Assistant for
Billiards and Café provides essential support to ensure the smooth operation of
the facility. This role involves handling administrative tasks, supporting
staff, managing customer inquiries, and assisting with various operational
functions. The ideal candidate will have strong organizational skills,
attention to detail, and a customer-focused attitude.
Key Responsibilities:
- Administrative Support:
○ Perform general office tasks,
including answering phones, responding to emails, and handling correspondence.
○ Maintain and update records, files,
and databases.
○ Prepare and process documentation,
including reports and schedules.
- Customer Service:
○ Greet and assist customers,
addressing their inquiries and resolving issues promptly.
○ Manage reservations and bookings for
billiards tables and café services.
○ Handle customer feedback and
complaints with professionalism and efficiency.
- Scheduling and Coordination:
○ Assist in scheduling staff shifts
and managing employee schedules.
○ Coordinate and schedule meetings,
events, and special activities.
○ Ensure that all necessary supplies
and equipment are available and ordered as needed.
- Financial and Administrative Duties:
○ Process transactions, including cash
handling and credit card processing.
○ Assist with invoicing, billing, and
maintaining financial records.
○ Support budget management and
financial reporting tasks.
- Marketing and Communication:
○ Help manage social media accounts
and update the website with current promotions and events.
○ Assist with promotional activities,
including flyers, advertisements, and community outreach.
○ Prepare and distribute newsletters
or updates to customers and staff.
- Facility Management:
○ Monitor and report maintenance
issues or facility needs to the appropriate personnel.
○ Ensure that the facility is clean
and well-organized, including common areas and office spaces.
○ Assist with inventory management,
including ordering and stocking supplies.
- Compliance and Safety:
○ Ensure compliance with health and
safety regulations and company policies.
○ Support the implementation of safety
procedures and protocols.
Qualifications:
● Fluent in English
● Proven experience as an
administrative assistant or similar role.
● Strong organizational and
multitasking skills with attention to detail.
● Excellent verbal and written
communication skills.
● Proficiency in office software
(e.g., Microsoft Office Suite, Google Workspace).
● Basic understanding of financial
principles and cash handling.
● Ability to work independently and as
part of a team.
● Customer service experience is a
plus.
Education and Experience:
● High school diploma or equivalent;
associate’s degree or relevant certification preferred.
● Previous experience in a hospitality
or customer service environment is advantageous.
Working Conditions:
● Office environment with occasional
interaction in customer-facing areas.
● Must be able to handle a variety of
tasks and work efficiently in a fast-paced environment.
● Flexibility to work evenings, weekends, and
holidays as required.
