As we take this ambitious journey of growing to 1,000 stores, we’re looking for a hands-on and solution-driven Associate, Facility Management to ensure every Inofarma store operates at its best. You’ll play a key role in maintaining store facilities, coordinating maintenance and repair activities, and ensuring each location meets our safety, hygiene, and operational standards. Your work will help create a reliable, comfortable, and efficient environment — enabling our teams to focus on delivering the best healthcare experience to customers across Indonesia.

Your Role :

Procurement Administration

  • Prepare & track Purchase Requests (PR), get approvals, coordinate PO issuance & GRN handover.

  • Collect & verify invoices, warranty cards, and delivery notes; route for payment on time.

  • Maintain vendor master data (contacts, NPWP, bank details) and compare 2–3 quotes for routine buys

Store Opening Scheduling

  • Build and maintain a simple timeline (checklist/Gantt) for each new store (fit-out, signage, equipment, printing).

  • Coordinate dates & dependencies with Store Team, Finance, Regulatory, and Marketing; flag risks early.

External Vendor Communication

  • Be the point of contact for printing vendors, contractors, and technicians; confirm scopes, dates, and SLAs in writing.

  • Issue brief Work Orders/Job Sheets and follow up until completion & sign-off.

Documentation & Filing

  • File hardcopy & softcopy for invoices, warranties, delivery notes, permits; ensure consistent naming conventions.

  • Keep audit-ready folders per store (opening pack, asset list, warranties, photos).

Facility Maintenance Coordination

  • Log issues (e.g., ceiling leaks, AC service) in a ticket tracker; triage, dispatch vendors, and confirm resolution.

  • Schedule preventive maintenance (AC cleaning, genset checks) and record outcomes.

Reporting

  • Prepare a Monthly Facilities Report (high-level status per store, spend vs. budget, vendor SLA, ticket metrics).

  • Highlight risks, recurring issues, and quick wins/cost-savings opportunities

Your Qualifications:

Must-Have

  • Final-year student or fresh graduate in Business Administration, Industrial Engineering, Facilities/Property, or similar.

  • Solid Google Sheets/Excel (filters, VLOOKUP/XLOOKUP, COUNTIF, data validation, basic pivot), Google Docs/Slides.

  • Organized, meticulous, and comfortable managing checklists & deadlines.

  • Clear written communication (email/WhatsApp), Bahasa Indonesia; basic English for vendor docs.

  • Willing to do light fieldwork (store/vendor visits) when needed.

Nice-to-Have

  • Basic hands-on skills (minor fixes/measurements), familiarity with basic MEP terms.

  • Exposure to project management & procurement tools, and ticketing tools (Jira/Trello).

  • SIM C and personal mobility for quick site checks.
