Role Objectives:

The Guest Service Ambassador (GSA) for VIP and long-stay guests provides personalized, high-level service, acting as a personal butler to ensure a seamless, luxurious experience. In addition to handling check-ins, check-outs, and complaints, the GSA assists with room tours for travel agents, supports sales efforts, and coordinates with hotel departments to maintain smooth operations. When not focused on VIP guests, the GSA actively contributes to the Guest Relations team (GRO), enhancing overall guest experiences and ensuring smooth hotel operations.

Requirements

  • A degree or diploma in Hospitality Management, Business, or related field is preferred.

  • At least 1–3 years of experience in guest relations, front office, concierge, or related hospitality roles, with a focus on VIP and high-end clientele.

  • Excellent verbal and written communication skills in English; additional languages are a plus.

  • Strong interpersonal, conflict resolution, and problem-solving skills.

  • Proficiency with hotel property management systems (e.g., VHP, Opera, PMS), Microsoft Office, and front office operations.

  • Ability to work independently and as part of a team, maintaining a positive and proactive attitude.

  • Eager to anticipate and fulfill guest needs to deliver exceptional and memorable experiences.

  • Willing to be based in Bali.

Responsibilities

  • Serve as a personal butler for VIP and long-stay guests, ensuring their specific needs are anticipated and met throughout their stay.

  • Build rapport and strong relationships with repeat guests, remembering personal preferences and details to tailor each stay.

  • Provide customized services, such as arranging special requests, personalized dining experiences, and local tours or excursions.

  • Monitor and manage VIP guests’ comfort and satisfaction throughout their stay, quickly addressing any concerns or requests with a high level of discretion.

  • Welcome VIP guests personally upon arrival, offering expedited check-in/check-out services and ensuring all needs are addressed immediately.

  • Handle any special check-in/check-out requests with a high level of attention and care, including coordinating room preferences and amenities.

  • Assist the sales team in providing room tours and presentations to travel agents, ensuring that the offerings align with the guest’s expectations and preferences.

  • Support travel agent inquiries regarding VIP and long-stay guest bookings, ensuring a seamless flow of information.

  • Act as the first point of contact for VIP guests, managing all inquiries, special requests, and complaints efficiently and empathetically.

  • Collaborate closely with the housekeeping, F&B, concierge, and other departments to ensure exceptional service delivery to VIP and long-stay guests.

  • Coordinate additional guest services, including transportation, dining reservations, and spa bookings.

  • Provide personalized recommendations for local attractions, dining, and experiences that align with the guests’ preferences.

  • Maintain accurate guest profiles in the property management system (PMS), recording preferences and special requests.

  • Promote hotel amenities, services, and local experiences, assisting with upselling opportunities where appropriate.

  • When VIP guest needs are minimal, assist the Guest Relations team with general guest inquiries, check-ins/check-outs, and supporting administrative tasks as necessary.

  • Help maintain the cleanliness and organization of the lobby and guest areas, ensuring a welcoming environment at all times.

  • Be proactive in addressing any concerns or complaints, ensuring swift resolution with a focus on guest satisfaction.

  • Follow all safety, health, and emergency protocols as required by hotel policy.
