We seek an experienced Project Coordinator position to manage and oversee offline events for our FMCG client. The ideal candidate will bring at least 2 years of event management experience, be familiar with offline marketing activity in the FMCG brand sector, and ensure the seamless execution of offline projects (brand activations, product sampling, selling, and event exhibitions). The role requires strong organizational skills, vendor management, problem-solving, and an ability to manage both small and large-scale events, focusing on driving brand engagement and successfully hitting KPI targets and timelines. 

Key Responsibilities:

  • Event Planning & Coordination: Oversee the planning, logistics, and manpower coordination of offline events (product sampling, selling, event/exhibitions, and consumer survey).
  • Project Management: Ensure the smooth execution of all event activities, from initial planning through to post-event follow-up, timeline, strategy to achieve the target, manpower plotting, manpower management, monitoring project running, and budgets. Also, Keep all members of the team up-to-date with current information.
  • Vendor & Stakeholder Management: Coordinate with external vendors, distributors, and venues for event execution. Liaise with internal teams, sales teams, managers, and clients to meet event requirements.
  • Client’s Brand Representation: Ensure client’s brand visibility, consistency, and positioning during events, ensuring all activations align with client guidelines and expectations.
  • Team Leadership: Coordinate with manpower, SPG, vendor, partner, and other team members to ensure efficient operation during events.
  • Budget Management: Responsible for forecasting project budget and profit, cost management, and ensuring cost-effective project execution.
  • Post-event Reporting: Provide comprehensive event reports, including gathered data analysis, learnings, and recommendations for future improvements (both for the client as a report and internal for future improvement).

Job Specification:

  • Min. S1/Bachelor’s in Management, Marketing, or other relevant major.
  • At least 2 years of experience in managing offline events, preferably within the FMCG industry.
  • Experience in brand activation, event journey, and brand campaigns handling event conception, budgeting, flow, and execution.
  • Strong organizational and multitasking skills to manage multiple events simultaneously.
  • Excellent communication skills (verbal and written) to engage and compromise effectively with team members, vendors, and clients.
  • Able to communicate in English both written and verbal.
  • Attention to detail and a strong focus on delivering high-quality experiences.
  • Exercises good judgment, and manages operational excellence, critical thinking, problem-solving, and continuous improvement.
  • Excellent for managing and plotting manpower, event journey, budgeting forecasts, processing the data, and creating reports based on the data result.
  • Able to work multitasking independently and also teamwork with cross-department.
  • Strong time-management skills with the ability to work under pressure by hitting deadlines and targets.
  • Excellent skills in Microsoft Office.
  • Willing to work during the weekend or out of office hours to execute the projects which run during the weekend (will be given substitute slot).
