PERSOLKELLY Indonesia is currently assisting Japanese Machinery Companies and they’re looking for a GA & Administration Staff position to be placed in South Jakarta with job descriptions and requirements as below:

* Carry out administrative duties such as filing, typing, copying, scanning, post arrangement, and other as requested; to develop, manage, and maintain administration filing systems both digitally and physically.
* Prepare weekly company car operational schedule.
* Check reimbursement of company car weekly operational expenses such as gasoline, parking, and toll fees.
* Check driver timesheets every 25th of the month; to communicate with companies providing driver services for driver’s salary and overtime calculations.
* Maintain supplies inventory by checking stock to determine inventory level of office stationery and supplies; anticipating needed supplies; placing and expediting orders for suppliers; verifying receipt of supplies.
* Arrange procurement of office equipment or other items needed by employees; ensuring operation of office equipment by completing preventive maintenance requirements; arrange repairs of office equipment when necessary.
* To receive and check invoices and its supporting documents from Suppliers; follow up on invoices that have not been issued or invoices require for correction from the Suppliers.
* To arrange hotel, flight ticket or other means of transportation related with employee business activities and for visitors from group companies; golf membership and booking arrangements; reservation of restaurant; rental meeting room; and other as requested.
* Maintain employee database, attendance records, leaves and reimbursement requests both physically and in Talenta HR System.
* Arrange working visa and stay permit for expatriate, include stay permit for family members of expats; arrange visa related to employee business activities and visa for visitors from group companies.
* Maintain entertainment records and provide update monthly reports to the Director.
* Support for expatriates’ family members may be required from time to time.
* Other tasks related to administrative work upon the request/instruction by BOD.
 

Requirements:

  1. At least 3 years of experience as Administration Support or General Affairs in multinational company, Japanese Company highly preferable
  2. Minimum Diploma or equivalent is required, Bachelor degree preferred. (any major)
  3. Proficient in MS Office (Word, Excel & Power Point). 
  4. Excellent communication skill in English, both written and verbal communication skills.
  5. Attention to detail and problem-solving skills. 
  6. Excellent time management skills and ability to multitasking. 
  7. Willing to work overtime if necessary and be disciplined at work.
  8. Living in Jakarta or surrounding areas with commuting time of less than 1 hour is preferred.

Salary: Up to 9 Mio (Depends on Latest Payslip/Interview Result/Skill Candidate)
