Position Overview: The Shipping/Sales assistant Supervisor plays a key role in ensuring the smooth operation of sales order processing, customer service, and logistics. This role combines responsibilities related to order management, shipment coordination, and customer communication, while also supervising a team to ensure timely and accurate order fulfillment. The primary focus is on tracking and following up on sales orders to ensure that customer expectations are met efficiently and on time.

Key Responsibilities:

Sales Order Management:

  • Assist Shipping/Sales Supervisor to oversee the processing and fulfillment of sales orders from the moment they are received to the point of delivery.
  • Ensure all sales orders are entered accurately into the system and that they adhere to company policies and customer requirements.
  • Coordinate with the sales team to address any issues with order accuracy, pricing, or special requests.

Order Follow-Up & Tracking:

  • Track and monitor sales orders to ensure timely delivery and fulfillment.
  • Proactively communicate with customers to provide order status updates, shipment details, and resolve any inquiries or delays.
  • Work closely with the warehouse and logistics teams to ensure on-time shipping and delivery.

Team Supervision:

  • Assist Shipping/Sales Supervisor to lead and supervise a team responsible for sales order entry, follow-up, and shipping coordination.
  • Assist Shipping/Sales Supervisor to train and mentor staff to ensure high levels of performance and adherence to company procedures.
  • Manage workload distribution to ensure all orders are processed efficiently and accurately.

Shipping & Logistics Coordination:

  • Work with carriers and logistics providers to arrange shipping and track shipments.
  • Coordinate with warehouses and third-party logistics partners to ensure products are picked, packed, and shipped on time.
  • Address any shipping issues, such as delays, incorrect shipments, or damage, and provide solutions to ensure customer satisfaction.

Customer Service & Relationship Management:

  • Serve as the primary point of contact for customers regarding order follow-ups, shipment updates, and issue resolution.
  • Build strong relationships with customers through effective communication and timely responses.
  • Address and resolve customer complaints related to orders and shipments in a professional manner.

Reporting & Analysis:

  • Generate and analyze reports on order status, shipping performance, and team productivity.
  • Identify areas for improvement in the sales order process and recommend changes to enhance efficiency.

Job Requirements:

Education & Experience:

  • Bachelor’s degree in business, supply chain management, logistics, or a related field.
  • Minimum of 3-5 years of experience in sales support, shipping, or customer service, preferably in a supervisory or team lead role.
  • Experience in managing a team or leading a sales/shipping function is preferred.
  • Strong knowledge of sales order processing and logistics/supply chain principles.
  • Proficient in using ERP systems, CRM software, and shipping platforms (e.g., SAP, Oracle, Salesforce).
  • Excellent communication and customer service skills, with the ability to handle complex orders and customer inquiries.
  • Strong leadership skills and the ability to motivate and manage a team effectively.
  • Detail-oriented with strong organizational skills, capable of managing multiple tasks and prioritizing deadlines.
  • Problem-solving abilities and adaptability in addressing shipment delays, order discrepancies, or inventory shortages.
  • Fluent in English
  • Mandarin language proficiency will be preferred
  • Willing to conduct training at Vietnam for 3-6 Months
