Duties and Responsibilities
a) Support the project team to ensure effective project planning and implementation focusing on achievement of the following results:
• Compiles, summarizes, and presents basic information/data on specific project and related topics or issues.
• Implement project standard operating procedures in line with the government and UNDP’s regulations;
b) Provides administrative support to the Project Management Unit focusing on achievement of the following results
• Provision of general office assistance such as response to simple information requests and inquiries; reviews, logs and routes incoming correspondence;
• Provision of clerical administrative work to process and follow-up on administrative actions, e.g. payment, procurement, recruitment, travel, absence management
• Support in updating database of counterparts and administrative support for data collection for gender mainstreaming at project level.
• Support the administration related with preparation of work plans, report from various meetings .
c) Support knowledge building and knowledge sharing focusing on achievement of the following results
• Participation in the trainings for the operations/ projects staff.
• Contributions to knowledge networks and communities of practice
• Ensure active participations for learning and knowledge sharing in gender analysis and gender mainstreaming
• support documentation of the project activities as a tool to communicate results, deepen stakeholder knowledge and buy-in to the project, and resource mobilization for the project.
d) Effective contribution and support of with data collection for gender analysis and gender mainstreaming at project level. The incumbent of the position should avoid any kind of discriminatory behavior including gender discrimination and ensure that
• Human rights and gender equality is prioritized as an ethical principle within all actions.
• Activities are designed and implemented in accordance with “Social and Environmental Standards of UNDP”.
• Any kind of diversities based on ethnicity, age, sexual orientation, disability, religion, class, gender are respected within all implementations including data production.
• Differentiated needs of women and men are considered.
• Inclusive approach is reflected within all actions and implementations, in that sense an enabling and accessible setup in various senses such as disability gender language barrier is created.
• Necessary arrangements to provide gender parity within all committees, meetings, trainings etc. introduced
Institutional Arrangement
The Project Clerk works under the general supervision of Project Manager and collaborates closely with the operations, programme and project staff in UNDP Indonesia, as required.

Required Skills and Experience
Min. Academic Education
Secondary education is required.
University degree (Bachelor’s degree) in Communication, Public Relation, Public Administration, International Relations or other related field will be given due consideration, but it is not requirement.
Min. years of relevant Work experience
Minimum three years (with Secondary Education) of professional experience in administrative and financial support and no work experience for candidate with bachelor’s degree. Some experience in supporting administrative, correspondence, and coordination activities will be an asset.
Required skills and competencies

- Demonstrated the ability to successfully interact with individuals from different cultural backgrounds and beliefs which include willingness to try and understand and be tolerant of different opinions and views;
- Good inter-personal and communications skills.
Desired additional skills and competencies
- Experience in the usageof computers and office software packages (MS Word,Excel, etc)
- Experience in managing online meeting platforms, documentation of paperwork database, photos, and archiving system.
- Experience working with Government and UN/UNDP procedures would be desirable.
- Experience in handling of web based management systems.
- Experience in collecting and summarizing administrationreport
- Knowledge and experience to support procurement process for the project implementation
Required Language(s) (at working level)
- Fluency in English and Bahasa Indonesia is required;
