JUNIOR ASSISTANT

The Position:

Reporting directly to the Deputy GM. Junior Assistant provides executive, administrative, and development support to the Deputy GM, as well as the Senior Leadership Team (SLT).

The Junior Assistant serves as the primary point of contact for internal and external constituencies on all matters pertaining to the Deputy GM. The Junior Assistant serves as a liaison to the Deputy GM and senior management teams organizes and coordinates executive outreach and external relations efforts; and oversees special projects.

Responsibility:

  • Assists the Deputy GM with daily administrative duties and completes a broad variety of administrative tasks that include:
  • Managing an active calendar of appointments.
  • Answering phones and routing calls to correct person or taking messages.
  • Completing expense reports.
  • Composing and preparing correspondence.
  • Arranging complex and detailed travel plans, itineraries and agendas.
  • Compiling documents for meetings.
  • Coordinates and helping preparation meetings and strategic activities with the SLT, and Management Team (MT)
  • Accurately recording minutes of meetings (MoM).
  • Communicates directly and on behalf of the Deputy GM with SLT, MT, related businesses, and others on matters related to a broad range of issues and initiatives as directed.
  • Conducts research and analysis to provide essential data for the Director/GM, the Deputy GM and Managements decision making.
  • Drafts reports, letters of solicitation, proposals; prepares and coordinates oral and written communication with internal or external relations.
  • Using various software, include word processing (MS Word / Google Docs), spreadsheets (MS Excel / Google Sheets), databases (MS Access / SQL), and presentation software (MS PowerPoint / Google Slides).
  • Reading and analyzing incoming memos, submissions, and distributing them as needed.
  • Update records and databases with Personnel, Financial, and other data.
  • Maintaining and improving document filing and management system. Filing and organizing corporate records, documents, and reports.
  • Provide general administrative support as needed on urgent basis without regard to time.
  • Handling company legal process and documents

Skills & Abilities:

  • Bachelors’ degree or equivalent highly preferred.
  • Approx 5 years of direct experience providing support for executive management in a related field.
  • Proficient in English both oral and written.
  • Working day is 5 days.
  • Willing to support at as needed without regard to time (even after office hours and on weekends and holidays).
  • Knowledge in legal compliance & administration.
  • iPhone (OS X) and Android mobile device calendar management experience.
  • Computer literacy and Proficiency in Mac OSx / Windows, including MS Word, MS Excel and PowerPoint. Google Docs, Sheets, and Slides. Database Management, MS Access and/or SQL.
  • Good communication skills.
  • Intelligent, adaptable and able to do multitasking job.
  • Initiative, Proactive and Driven – ability to make things happen; decisive and determined to follow through with change initiatives; hands-on; results-oriented; energetic; problem solver.
  • Strong organizational skills that reflect ability to perform and prioritize multiple tasks seamlessly with excellent attention to detail.
  • Strong interpersonal skills and the ability to build relationships with stakeholders, management, internal relations, and external partners.
  • Ability to conduct research and present data in a succinct and well-written manner.
  • Excellent writing, editing, grammatical, organizational, and research skills.
  • Knowledge of other languages and international customs is an asset;
  • Excellent management, time-management, and problem-solving skills.
  • Able to maintain confidentiality as the highest priority.
