Job Overview

The Administrative and Operations Assistant main responsibility is to proactively support the organization and play a crucial role in administrative support to the Quality Assurance, Logistics, and Finance Department in Indonesia branch. 

Responsibilities

Administrative and QA Assistant

  • Manage and control Purchase documents in AMI
  • Filing all agreements, Purchase Orders (PO), Purchase Requisition (PR) & Supplier Selection (SS) per suppliers.
  • Updates Master List of Supplier periodically
  • Filing Supplier Assessment documents
  • Prepare a logbook to monitor the numbering of PR.

In charge of office supplies purchase

  • Creating PR and SS for purchase of office supplies
  • Sourcing out 3 quotations for the purchase of the office supplies
  • Conducting supplier assessment for office supplies.

Manage and control all hard copies of documents stored in the cabinet

  • Organizing all hard copies of documents.
  • Prepare master list of all documents stored in the cabinet and identify which cabinet / rack does the document belong.
  • Prepare a logbook to monitor document’s retention period.
  • Liaise with QA, RAs and Logistic in sorting out and obtaining approval for documents to be destroyed.
  • Organize, compile and monitor in logbook external documents (LOAs, Letters, Statements, Receipts etc).

Monitoring of duty stamps

  • Prepare logbook of duty stamps.
  • Monitor and do inventory of duty stamps.
  • Purchase duty stamps when the stock almost runs out.

Assist in Petty Cash Management

  • Prepare Petty Cash Form and assist Senior RA on the recording and monitoring of petty cash expenses.
  • Assist Senior RA on preparing the monthly petty cash report.

Manage numbering of Letter Correspondence

  • Prepare logbook and monitor the numbering assignment of letter correspondences.

Assist in handling of claims

  • Prepare claim forms and submit to finance.
  • Filing all claim-related documents (claim form, approval emails, receipt).

Bank Liaison and Documents Delivery

  • In charge of delivery of documents to AMI local director and to the banks
  • Ordering Go-Send
  • Liaising with AMI director

Assist in handling e-catalogue purchase

  • Liaise with local distributor for purchasing negotiation with the hospital
  • Compile data related to purchasing of E-Catalogue
  • Assist logistics in recording product traceability for each shipment

Other Administrative Tasks

  • Duties may include but not limited to filing of documents, answering phone calls, photocopying, responding to emails, scheduling meetings and other office activities.

  • Strong organizational and leadership skill
  • Fluent English with excellent writing and verbal communication skills
  • Result oriented, can work with minimal supervision, and willing to assume increasing levels of responsibilities.
  • Computer literate with advanced skills in Microsoft Office (Word, Power Point, etc.)
  • At ease in working in a small structure, start-up-type, where tasks and responsibilities are in constant move.
  • Able to operate in a multicultural environment.
  • High level of autonomy at work, yet with profound team-spirit
