Job Description:

Job Objectives

Plays an important role in efficiently managing day-to-day operations and ensuring smooth scheduling. Responsible for scheduling meetings, taking notes, and handling correspondence on behalf of the President Director. To ensure success as a personal assistant, he/she should exhibit excellent organizational skills and demonstrable experience in a secretarial role. Accomplished personal assistants are intuitive to the needs of the managers and work autonomously to provide customized administrative support.

Support to the President Director / ACR Indonesia

  • Assist MD in corporate matters and key meetings : BOD/BOC presentations, analysis of new processes and policies, follow up of action plans
  • Coordinate on transversal issues within Airbus organization. Manage incoming information, enquiries, requests, down cascading or escalating and launching actions when appropriate. 
  • Ensure implementation of Airbus governance principles (corporate audit, key controls)
  • Proactively manage calendar, appointments, and travel arrangement according to the requirements
  • Coordinate and schedule meetings, conferences, and events.
  • Coordinate internal/external meeting arrangements, prepare and compile meeting materials (such as presentation decks, files, reports and other information) ahead of time. Follow up with relevant parties to ensure timely submission of materials prior to the meeting.
  • Take in charge the cascade of internal and external information in the team; Contribute to positive working relationships and act as facilitator within the team and with stakeholders.

Support management to analyze growth development opportunities in Indonesia

  • Support the management to implement AH Regional model in Indonesia – Focal point for business model change in Indonesia.
  • Propose and implement continuous improvement initiatives
  • Support the implementation of Airbus country strategy and its implementation
  • Monitor the Indonesian digital and innovation ecosystem initiatives

Secretarial and Administrative Tasks

  • Prepare and organize documents, reports, and presentations.
  • Handle sensitive information with the utmost confidentiality.
  • To undertake specific projects as and when assigned.

Personal & Interpersonal Skills

  • Min. Diploma degree in Business Administration or a relevant field
  • Possess excellent communication skills.
  • Exhibit an approachable and energetic personality.
  • Proficient in Business English for effective client communication.
  • A team player, as s/he should coordinate and collaborate with various related parties, internally and externally with strong sense of responsibility, and able to work under pressure, 
  • Independent, fast learner and adaptable in order to resolve issues/challenges that may arise
  • Written & oral English fluency.
  • Written & oral Bahasa Indonesia fluency
  • Ability to converse in France is a good point
  • Proficient in Microsoft Office and Google Suite

Professional skills

  • Have min 2 years of experience as a personal assistant or executive assistant
  • Strong organizational and time management skills
  • Ability to work independently and handle multiple tasks simultaneously
  • Strong attention to detail and ability to prioritize
  • Ability to maintain a high level of confidentiality
