Stable Group runs 7 days a week phone answering service for Australian clients. Requiring constant training and monitoring towards improving the client’s call experience and optimisation of the reception/admin staff capabilities.

Looking for a person who:

As the Assistant Head of Stable Health Clinic Operations, your role would be to support the Head of Operations in managing the day-to-day activities and ensuring the smooth functioning of the back office and clinic operations. Your responsibilities may include, but are not limited to:

Staff Management: Assisting in hiring, training, and scheduling support staff. Ensuring that the team is well-coordinated and adheres to the Stable’s policies and procedures.

Quality Control: Monitoring the quality of the Customer care team to its high standards, and addressing any performance issues or customer complaints that arise.

Client Relations: Overseeing customer interactions, handling feedback, and ensuring a positive experience for all clients. 

Operational Efficiency: Identifying areas for improvement in clinic and Customer care operations and implementing strategies to optimize efficiency. This may involve streamlining processes from making the booking, admin tasks and other operations procedures.

Marketing and Promotion: Collaborating with the marketing team to develop promotional campaigns and strategies to attract new clients and retain existing ones.

Technology and Systems: Overseeing the implementation and maintenance of software systems for scheduling, booking, and customer management to enhance operational efficiency.

Training and Development: Supporting ongoing training and professional development initiatives for the admin team staff to enhance their skills and knowledge.

Reporting and Analysis: Providing regular reports to the Head of Operations, Chief of Operations, Managing Director on key performance indicators, operational issues, and opportunities for improvement.

Your role would be critical in ensuring that the Stable Massage Clinics operates smoothly, provides exceptional service to its clients, and maintains a positive and productive work environment for its staff.

To be successful you are degree qualified and have proven extensive experience in small office operations and experience. You have demonstrable excellent communication and relationship skills in addition knowledge in various social media platforms, database management, email, social and website strategies will be an advantage.

Requirements

  • Ideal candidate must possess at least a Bachelor’s Degree, Linguistics/Languages, Business Studies/ Administration/ Management, Personal Services, Marketing, Commerce or equivalent.
  • Required language: English (Good and effective communicator)
  • Experience abroad highly regarded
  • At least 3 years of working experience in a related field is required for this position.
  • This position will require acting team leader role. Supervisor / Coordinators experience specializing in customer care or equivalent will be an advantage.
  • Full-Time position available.
  • Punctuality is paramount
  • Must be able to accept roster changes and public holiday work
  • Working hours 8 hours a day between: 5:00/6.00 am to 2:00/3:00 pm Monday to Friday or over the weekend (if needed)
  • Customer service or call center team leader experience.
  • Conflict resolution skills.
  • Suitable to someone who lives within 1 hour of our office.
  • You must be available to travel to Melbourne for 2 – 4 weeks for further training. All expenses will be paid by the company but it is imperative to have all documents in order and ready.

This resulted in developing our own brand of deep tissue massage techniques to reduce stiffness and aches, helping with pain reduction, increasing mobility and range of movement.
