The Assistant to the Director plays a crucial role in enhancing the company’s communication and operational efficiency, and their proficiency in Mandarin is an invaluable asset in serving Mandarin-speaking clients and fostering international partnerships.

The Primary Responsibilities include, but are not limited to:

  • Communication: Act as a key liaison between the Director and Mandarin-speaking clients, investors, and partners. Handle incoming and outgoing communication in Mandarin.
  • Calendar Management: Manage the Director’s schedule, and arrange appointments, meetings, and conference calls. Ensure efficient time allocation and handle any schedule changes.
  • Documentation: Prepare and translate business documents, reports, presentations, and other materials in Mandarin.
  • Client Support: Provide support to Mandarin-speaking clients, addressing their inquiries, and facilitating their investment-related needs.
  • Coordinate Meetings: Organize meetings, prepare meeting agendas, take meeting minutes, and ensure follow-ups on action items.
  • Administrative Support: Assist in general administrative tasks, including filing, record-keeping, and maintaining office supplies.
  • Market Research: Conduct research on financial markets, securities products, and regulatory updates to support decision-making processes.
  • Confidentiality: Maintain confidentiality and handle sensitive information with the utmost discretion.
  • Collaboration: Collaborate with various departments within the company to ensure smooth operations and effective communication.
  • Translation Support: Offer translation services as needed for Mandarin documents, correspondence, and presentations.

Qualifications:

  • Fluency in Mandarin: Proficiency in speaking, reading, and writing Mandarin is essential, as the role involves communication with Mandarin-speaking clients, partners, and stakeholders.
  • Educational Background: A Bachelor’s degree in Sastra Mandarin, Finance, Business Administration, Economics, or any related field (Fresh Graduates are welcome to apply). Additional certifications or qualifications in Mandarin (holding HSK) will be advantageous.
  • Experience: Previous experience in the securities industry or a related financial field is desirable. Candidates with experience in administrative roles or executive support will also be considered.
  • Strong Communication Skills: Excellent verbal and written communication skills in both Mandarin and Indonesian are necessary.
  • Organizational Skills: The role involves managing the Director’s schedule, coordinating meetings, and handling various administrative tasks. Strong organizational and time-management skills are essential to ensure smooth operations.
  • Market Knowledge: Familiarity with financial markets, securities regulations, and investment products will be beneficial in understanding the company’s operations and serving clients effectively.
  • Discretion and Confidentiality: As the Assistant to the Director, the candidate may be exposed to sensitive information. Demonstrating a high level of discretion and maintaining confidentiality is crucial.
