JOB DESCRIPTION
Administrative Support
Provide comprehensive administrative support to the Vice Rectors, including managing their calendar, scheduling meetings, and coordinating travel arrangements.
Communication Management
Handle internal and external communications on behalf of the Vice Rectors, including drafting and responding to emails, memos, and other correspondence.
Meeting Coordination
Organize and coordinate meetings, conferences, and events attended by the Vice Rectors, including preparing agendas, taking minutes, and ensuring timely follow-up on action items.
Document Management
Maintain and organize official documents, reports, and files related to the Vice Rector’s responsibilities, ensuring proper record-keeping and confidentiality.
Liaison Role
Act as a liaison between the Vice Rectors and other related departments, faculty, staff, students, and external stakeholders, maintaining positive relationships and facilitating effective communication.
Office Management
Oversee the daily operations of the Vice Rector’s office, including managing budgets, ordering supplies, and coordinating administrative staff.
Confidentiality and Professionalism
Maintain a high level of confidentiality, professionalism, and discretion in handling sensitive information and dealing with various stakeholders.
Project Management
Assist in the coordination and management of necessary projects and initiatives led by the Vice Rectors, ensuring their timely and successful completion.
Other Duties
Perform any other duties assigned by the Vice Rectors to support their role and contribute to the overall functioning of the university.

Meeting Management: Efficient organization and coordination of meetings, including preparation of agendas, distribution of materials, and timely circulation of meeting minutes.
Accuracy and Attention to Detail: Ensuring accuracy and attention to detail in all administrative tasks, including document preparation, data management, and record-keeping.
Stakeholder Satisfaction: Feedback from stakeholders, including the Vice Rector, faculty, staff, students, and external partners, indicating satisfaction with the Secretary’s support and assistance.
Initiative and Proactiveness: Taking initiative in identifying areas for improvement, streamlining processes, and providing proactive support to the Vice Rector and their office.
Adaptability and Flexibility: Demonstrating the ability to adapt to changing priorities, handle multiple tasks simultaneously, and work effectively under pressure.
Professional Development: Engaging in continuous learning and professional development activities to enhance skills and knowledge relevant to the role.
